Office Manager
- Manage daily office operations, systems, and workflows
- Maintain organized digital and physical filing systems
- Answer and route phone calls and emails professionally
- Act as the first point of contact for customers and vendors
- Coordinate job scheduling with the General Manager and field crews
- Communicate schedules, changes, and job details to crews and customers
- Track job status and ensure required documentation is complete
- Prepare and send customer invoices in a timely manner
- Track receivables and follow up on past-due invoices
- Assist with payroll preparation and time tracking
- Coordinate with external bookkeeping/accounting support as needed
- Support proposal and contract administration
- Manage vendor communications, purchase orders, and invoices
- Help ensure a professional, responsive customer experience
- Maintain basic reports related to jobs, billing, and operations
- Support the owner and management team with ad hoc projects
- Help implement and improve office processes as the business scales
- 3+ years of experience in an office manager, administrative manager, or similar role
- Strong organizational and time-management skills
- Excellent written and verbal communication skills
- Comfortable working independently and taking ownership of tasks
- Proficiency with Microsoft Office (Excel, Word, Outlook); experience with QuickBooks or similar systems is a plus
- Experience in construction, field services, or a trade-based business is a plus, but not required
